POST 46/78 : SENIOR ADMINISTRATION OFFICER: TRAVEL

REF NO: 290/2015

SALARY : R243 747 to R287 121 per annum (salary level 8) plus benefits

CENTRE : Pretoria

REQUIREMENTS : An appropriate 3 year tertiary qualification and 4 years relevant experience or Grade 12 with 10 years relevant experience. Must have Intermediate Excel skills, good Problem solving skills, Decision making skills, Report writing skills, Diplomacy, Planning, organisational and good interpersonal relations, Be able to work Independently and under pressure. The candidate must also possess good presentation skills and Negotiation skills.

DUTIES : The successful candidate’s responsibilities will include; managing the provision of travel management and related services to the department through: Reviewing policy and related procedures and make recommendations to maximise the efficiency and effectiveness of departmental travel services; Maintaining travel register and reconcile with invoices and payments weekly, monthly, quarterly and annually, Preparing schedule of commitments and accruals for quarterly and annual financial statements, Approving deviations from policy / procedures in urgent cases, Liaising with Ministry / Deputy Ministry on travel requests, Authorising after hours travel bookings and changes to existing bookings, Providing guidance on and manage conference / venue bookings, Managing the utilization of departmental vehicles, Following up with service providers on outstanding / overdue / incorrect invoices, Verifying and process for payment of all invoices within 7 days, Verifying that all payments are accurately captured on internal tracking systems, Investigating cases of fruitless and wasteful expenditure related to travel and make recommendations to Loss Control Committee on appropriate action to be taken, Ensuring the safe keeping of records related to travel, Responding to audit queries related to travel and Supervision of staff
