Position Summary:
Provide secretarial and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget; managing calendars and appointments; event and meeting planning.

Department Specific Essential Job Functions:
The Center for Transformative Teaching and Learning provides support to faculty. Must be customer service oriented.

Assists with entry in Banner system, with the management of budget and preparation of reports, special projects and events, etc.

Collects/readys out-going mail for pick-up. Receives incoming mail/faxes/deliveries and distributes. Processes materials for mailing. Mails/hand delivers to appropriate campus offices numerous forms/documents/materials.

Takes/transcribes/distributes minutes of weekly department meetings.

Processes paperwork for employment of student workers. Checks time cards/leave forms for student workers/bi-weekly staff/monthly staff; enters time in Banner system.

Sorting/manipulating data and using mail merge to print address and name labels, tent cards (Excel document sent to us as an e-mail attachment).

Assists with preparation of materials/packets for CETTL ELA events and mailings.

Responsible for CETTL Library to include order and label books, scan books in and out and keeping shelve labels current.

Maintains files, appointment calendars and CETTL master calendar.

Orders/maintains offices supplies and supervises maintenance of office equipment.

Works with minimal instruction/supervision; uses independent judgment when appropriate; keeps abreast of university and college policies/procedures; handles confidential information with discretion; updates skills when needed to meet changing duties of job.

Performs other duties as assigned.

Qualifications/Experience Required

Performs administrative or manual tasks. Requires general education or vocational training and 6+ years of relevant experience in chosen field or equivalent combination of education and experience.

Requires 1+ year higher education experience and/or 1 year UCO experience.

Qualifications/Experience Preferred

Three to four years’ experience in customer service, office management, policies and procedures.

Two years of bookkeeping or financial tracking experience.

Minimum 40 net w.p.m. keyboarding.

Two years of college or secretarial certificate.

Experience in a higher education environment.

Knowledge/Skills/Abilities

Ability to listen and follow instructions; Ability to work with others in team environment; Read and comprehend instructions; Demonstrate respect in interactions; Honesty and Integrity; Ability to present self in professional manner. Ability to use create documents in Excel, PowerPoint and Word.

Literate in computer usage and word processing including, but not limited to Word, Excel, Access and Power Point.

Knowledge of basic office procedures and practices.

Excellent telephone etiquette, communication, interpersonal and public relations skills.

Ability to work well with others fostering a positive working relationship.

Ability to operate office equipment.

Ability to accurately type.

Ability to multitask.

Demonstrates a warm and caring professional service oriented attitude.

Must be self-motivated.

Ability to listen and synthesize directives.

Other Physical Demands Summary:
Repetitive movement of hands and fingers – typing and/or writing. Frequent standing, and/or sitting. Occasional walking, stooping, kneeling or crouching. Reach with hands and arms. Visually identify, observe and assess. Talk and hear.

Work Environment

The noise level in the work environment is usually moderate.

Salary:
$12.56 per hour ($26,144 annually)
