POST 12/07 : SENIOR ADMINISTRATIVE OFFICER: OPERATIONS AND LOGISTICS

REF NO: OC10//2016

SALARY : R243 747 per annum (all inclusive total package of R352, 926)

CENTRE : Cape Town

REQUIREMENTS : A Grade 12 Certificate plus appropriate experience in related field. Knowledge of administrative procedures, financial management and personnel management. Computer literacy. Writing and verbal communication skills, Planning and organizing skills. Decision making skills. Report writing skills. Good interpersonal 8 skills. Ability to work long hours and independently. Ability to work under pressure.

DUTIES : Render logistical support services: arrange venues for workshops or meetings and travelling arrangements. Handle travel claims for personnel. Provide admin support services: Register correspondence received by directorate / chief directorate ST in correspondence management register. Arrange for repairs of office equipment. Prepare documents for workshops / training sessions and meetings by copying, binding and faxing. Manage a filing system. Render chief user services for the Directorate: Request service providers from departmental database and obtain quotations from service providers per specifications of the required items. Ensure that order numbers are followed up with supply chain management. Render financial support services: Compile budget spread sheet. Complete expenditure form for every expense incurred by the directorate. Verify budget allocation codes. Capture the information per expenditure form. Obtain BAS report to determine monthly expenditure status. Prepare monthly expenditure report and submit it to management. Arrange petty cash when needed. Provide inventory controller: Maintain the directorate’s asset register. Update the register when new office equipment is acquired. Arrange on behalf of personnel, with the asset manager for moving of furniture from one office to another.
